Teaching live batches and marking attendance

Run the batches of your live Zoom class from the Curriculum & batches tab: batches and admissions, weeks and Zoom classes, connecting Zoom, starting a class, automatic recordings, attendance, registrations, and marking a batch as completed so NSDP can deliver the certificates.

Once your live Zoom class is created, you run it from one tab of its workspace: Curriculum & batches. It holds the batches, their weeks and Zoom classes, the class work, each batch's registrations, attendance and the button that finishes a batch.

Setting it up

Creating the class, its fee, the three workspace tabs and the review steps are explained in Creating a live session and sending it for review. In short: batches, weeks and Zoom classes are saved with Save curriculum and, on a published class, reach students only after you choose Submit changes for review and NSDP approves. Assignments, quizzes, resources, attendance and admissions do not wait for review.

Batches and New batch

A batch is one run of the class on its own dates. New batch asks for the Batch name, Start date, Seat capacity and Admissions (Open or Closed), and how its curriculum starts:

  • Weeks, topics and Zoom classes are copied. Assignments, quizzes and resources belong to the class, so every batch already has them.
  • With more than one batch to copy, pick it under Copy from. The first batch of a class has nothing to copy, so it starts empty.
  • Create batch adds the batch to the page. It is kept only when you choose Save curriculum.

  • The end date, the class days and the duration are not typed in. They are worked out from the batch's Zoom classes.
  • The description, requirements and learning outcomes are the class's own. You write them once on the Information tab and every batch shows the same.
  • For a batch NSDP has already approved, the Admissions switch works at once. For a new batch it is kept with the batch and applies once NSDP approves it.
  • Closing admissions never removes students: registered students keep their seats.
  • When every seat is taken the card says so. Raise the Seat capacity to take more students.

Weeks, topics and Zoom classes

  • Weeks are numbered by the portal: Week 1, Week 2 and so on. You write only the topic (up to 110 characters). Students see, for example, "Week 1: Getting your first client".
  • Add Week N at the bottom adds the next week. Only the last week can be removed, and only while it has no assignment, quiz or resource.
  • Under each week, Add offers Zoom class, Assignment, Quiz and Resource.
  • A Zoom class has a topic (What this class covers), a Date, Starts and Ends. A new one takes the time of the batch's latest class and the next free day of its week, so repeating classes are quick to add.
  • A class is always on Zoom. There is no meeting link, other platform or recording to type in.
  • Choose Save curriculum when you are done. Discard on the save bar puts back the last saved version.

Assignments, quizzes and resources are saved straight away and students see them at once, unless you save them as a draft. See Class work: assignments, quizzes and materials for live and on-campus classes.

Connecting your Zoom account

  1. Step 1: Find the card Your Zoom account

    It is at the top of the Live Zoom classes page and at the top of Curriculum & batches.

  2. Step 2: Choose Connect Zoom

    You are sent to Zoom to sign in and allow the portal, then brought back. The card shows Connected and the account you signed in as.

  3. Step 3: That is all

    You connect once. From then on the portal creates the Zoom meeting for every class by itself; you never copy a link.

  • If the card says NSDP is finishing the Zoom setup, connecting is not available yet. The Connect Zoom button appears once NSDP has enabled it.
  • Connect again: Zoom no longer accepts the saved connection. Choose Connect Zoom again so your classes keep being scheduled.
  • Disconnect: meetings already scheduled stay on Zoom, but new classes are not scheduled until you connect again.

Zoom meetings are created for you

  • Once NSDP approves the class, the portal creates a Zoom meeting on your account for every Zoom class that has a date and a start time.
  • When an approved change moves a class, its meeting moves too. When a class is removed, its meeting is removed.
  • Zoom meetings for this batch lists each class: On Zoom with its date and time, Not on Zoom yet, or Not scheduled with Zoom's reason.
  • Update Zoom now brings Zoom in step straight away, for example after you connected your account late. It answers with how many meetings were created, moved and removed.
  • A class with no end time gets a one-hour meeting.

Running a Zoom class

  1. Step 1: Open the class and its Curriculum & batches tab

  2. Step 2: Find the class under Zoom meetings for this batch

    The list appears once your Zoom account is connected and NSDP has approved the class.

  3. Step 3: Choose Start class

    The button is shown beside every class that is On Zoom. The meeting opens with you as the host.

  4. Step 4: Teach

    Students join from their own classroom with Join live class. You do not send them a link.

  5. Step 5: Afterwards, mark attendance

    See Marking attendance below. The recording is added by itself.

  • There is no Start class button on a class that is not on Zoom yet. Give it a date and a start time, save, and submit the change; it is scheduled once approved.
  • On-site courses have no Zoom classes at all; see Running an on-site course.

Recordings are automatic

  • Every Zoom class is recorded by itself. You do not press record and you do not upload anything.
  • When Zoom has the recording ready, it is attached to that class and students can watch it from their classroom.
  • At first students watch Zoom's own copy. Once the portal has processed its own copy, the class plays that one inside the classroom instead.
  • A recording you added by hand is never replaced.

When students can join

Marking attendance

  1. Step 1: Choose Attendance beside the Zoom class

    The button is on every Zoom class that has been saved, in the week it belongs to. The dialog shows Enrolled, Joined, Attended, Missed and Left counts, and every student with their status and when they were last seen.

  2. Step 2: Mark each student

    Choose attended, missed or left. Each choice saves straight away.

  3. Step 3: Use Refresh

    To see students who have just joined through the join button.

Attendance statuses

  • joinedRecorded automatically when a student presses Join live class. Confirm the ones who stayed as attended.
  • attendedThe student took part. Only this counts toward a batch certificate.
  • leftThe student joined but left early.
  • missedThe student didn't attend. Students with no record at all show as missed.
  • You can correct marks later; there is no time limit. Attendance does not go through review.
  • You can mark attendance only for classes you are the instructor of. Dropped students are not listed.
  • Mark the attendance before you ask for the batch to be completed: it decides who gets a certificate.

Registrations inside a batch

Choose Registrations inside a batch to see who registered for it. A batch that is not saved yet shows "Save this batch first".

  • The seats taken against the seat capacity, and whether registration is open.
  • The Next class, and how many classes have been held.
  • Attendance so far, with the average for the batch.
  • The register of Students: search by name, email or student code, filter by status, and see each student's attendance share and the date they registered.
  • The list is read-only for you. Students come in through checkout, and only NSDP can remove a registration.

Mark batch as completed

Completing a batch delivers its certificates, so you ask and NSDP approves. Saving the curriculum can never complete a batch.

  1. Step 1: Finish the teaching, the attendance and the marking

    A student earns the certificate with the minimum attendance and every required assignment and quiz done.

  2. Step 2: Choose Mark batch as completed

    It is in Batch settings, on the card Finish this batch.

  3. Step 3: Read the counts

    The window shows Students, Will get a certificate and Will not, and says why some students are not eligible yet. If they should get one, choose Not yet and mark the remaining attendance and class work first.

  4. Step 4: Choose Send to NSDP for approval

    You can add a Note for NSDP (optional).

  5. Step 5: Wait for NSDP

    The card reads Waiting for NSDP's approval. Until NSDP decides you can choose Withdraw request.

    NSDP's note is shown on the card. Fix what it says and choose Ask again.

  • After approval the card reads Batch completed, with the date and how many certificates were delivered. You cannot undo it yourself.
  • The button is switched off, with the reason, while the batch is not on the approved class yet, while the class is not approved and live, or while the batch's admissions were never opened.
  • If certificates are turned off for the class, the window says so: approving completes the batch without delivering any.

Batch certificates

The Certificates tab shows a preview of the certificate students receive. The design and wording are set by NSDP, one design for all live Zoom classes. You cannot edit it.

  • The Certificate rules are shown read-only: whether certificates are awarded, the Minimum attendance and when they are issued. They are set by NSDP.
  • A student is eligible with the minimum attendance and every assignment and quiz marked Needed for the certificate done.
  • The usual way certificates go out is Mark batch as completed, approved by NSDP.
  • The tab also explains how certificates are delivered: you do not issue them yourself. When every class of a batch is taught, choose Mark batch as completed on the Curriculum tab; NSDP approves it and the certificate goes to every student who earned it.
  • Revoked certificates are never re-issued automatically.

Common messages

Messages you might see

  • “Connect your Zoom account first.”

    WhyYou chose Update Zoom now without a connected Zoom account.

    FixChoose Connect Zoom on the card Your Zoom account.

  • “This class has no Zoom meeting yet. It is scheduled once NSDP approves the live session.”

    WhyThe class, or the change that added it, is not approved yet.

    FixSubmit your changes for review and wait for approval.

  • “Connect your Zoom account again to start the class as host.”

    WhyZoom no longer accepts the saved connection.

    FixChoose Connect Zoom again, then Start class.

  • “Some classes were not scheduled”

    WhyZoom refused one or more meetings.

  • “This batch is not on the approved class yet. Admissions can be opened once NSDP approves it.”

    WhyYou opened admissions for a batch NSDP has not approved.

    WhyThe batch's admissions were never opened.

    FixOpen its admissions first. A batch that was never opened for students cannot be completed.

FAQ

Do I have to mark students who joined online?

Yes, confirm them as attended. joined alone doesn't count toward a certificate.

Can I give a certificate to a student below the minimum?

No. Only an administrator can issue a single certificate below the minimum.

The class time changed. What do I do?

Change the Date, Starts or Ends of the Zoom class and choose Save curriculum. On a published class, also choose Submit changes for review. Once NSDP approves, the Zoom meeting moves by itself.

Can I close admissions myself?

Yes. Use the Admissions switch in Batch settings. Students who already registered keep their seats.

Why can't I just set the batch to completed?

Completing a batch delivers certificates, so NSDP approves it. Use Mark batch as completed; you can withdraw the request while it is waiting.

Where are the Batches, Classes and Registrations tabs?

They are now one tab, Curriculum & batches. Each batch has its own Registrations view inside it.
